Our Client in the water industry is looking for a Subcontracts Assistant to strengthen their Contracts team.

Experience in Legal documents, contracts, quantity surveyor etc advantageous

The purpose of the Subcontracts Assistant is to provide assistance to the creation, negotiation and placement of subcontracts and other duties required by the Contract Placement Manager

Duties / Responsibilities:

Assist in the following

  • preparation, negotiation and execution (i.e. signing) of contractual agreements

  • review, create, examine, monitor & coordinate contracts issued / to be issued

  • review bid contracts with clear and actionable SLA's and deliverables.

  • extend, and renegotiate contract as appropriate

  • serves as a primary point of liaison with subcontractors and suppliers prior to award.

  • interact with legal, procurement, and managers as appropriate to ensure timely and accurate contract preparation and problem resolution.

  • assist project teams in notified breach of contracts as necessary and in a timely manner.

  • coordinate efforts (both internal and external) to help ensure that contractual agreements in place are clear, fair and legally binding

  • oversight and management of all business related agreements and contracts.

  • communicate with management and staff on requested information and proper documentation regarding contracts on a regular basis and expedite the review and execution of contracts.

  • collect, maintain, distribute and retain all subcontracts.

  • maintain comprehensive filing system and computer database for all contracts awarded.

  • retention of contracts.

  • collaborate with all levels of personnel in order to understand and fulfil each department's contracting needs

  • review purchasing contract terms and conditions to ensure compliance with company and legal requirements.

  • research regulations to guarantee contracts are updated and in compliances with laws.

 

Desirable Qualifications / Experience

A qualification related to procurement (e.g. CIPS, Supply Chain Management, Commercial Management, Quantity Surveying) the experience of the following:-

  • ability to review contracts, NDAs, License Agreements, Purchase Agreements, License Renewals, Services Agreement, Statements of Work, Amendments, and Schedules

  • good communication skills

  • knowledge of procurement regulations, contract agreements, and legal terminology,

  • 2 years of contract management experience. Must have knowledge of contracts for construction services (water sector would be advantageous)

  • management of contract systems and independent preparation of both simple and complex legal documents, general correspondence, briefs and/or contracts,

  • working in a water construction related contract is preferred,

  • contracting and legal terminology,

  • organizational, coordination, communication, negotiation, flexibility and interpersonal skills

  • database management, information research and records maintenance skills are needed

  • knowledge and understanding of basic business law guidelines, and policies.

  • use of Microsoft Software Suite (eg excel, word, access).
