Surface Facilities Technical Assistant




  • Provide daily support to the efficiency of the Project Facilities delivery teams by ensuring that key processes and systems are diligently applied;

  • Provide reporting and insight on progress, with knowledge of status to support timely issue resolution;

  • Be responsive to new and modified tasks in a dynamic working environment;

  • As custodian of key processes, work with the wider team to develop, maintain and improve systems;

  • Interact with the wider team to expedite activities and provide support and training on tools and processes;

Key Accountabilities

  • Compliance with the Company and Contract Health, Safety, Environmental and Quality policies;

  • Custodian of the Company Document Registers for the Surface Facilities teams, controlling the status of contractual documentation between Contracts (using information from Document Control and inputting into SCM/Contracts documentation);

  • Focal point for formal ATMS action tracking system – reporting, expediting and supporting team in timely resolution;

  • Custodian of Lessons Learned (LL) system – managing contextual data and supporting the wider team in taking items through a rigorous system with multiple interfaces;

  • Expediting team members to ensure input and status of various registers;

  • Developing and improving tools and processes, typically in MS Excel;

  • Work with the IT and Information Management team to maintain the project SharePoint website;

  • Assisting Surface Facilities team with documentation related activities – developing and implementing templates, resolving technical document issues, formatting and preparing presentation materials;

  • Collating and preparing large document and data sets for data rooms and external interactions;

  • Ad-hoc tasks related to documentation and data in support of project delivery and assurance reviews;

Common / Routine Tasks

  • Assisting with ATMS items – inputting risks into the register for staff or chasing updates;

  • Assisting interfaces with Document Control for retrieving documents from CDMS for teams and checking on transmittals;

  • Occasional data-entry into CDMS;

  • Updating the Project Dataroom (K drive);

  • Helping teams by converting documents or Powerpoints into the new templates;

  • Interfacing with PMO’s external template designer with any template updates needed;


  • Monitoring the PMO Surface Facilities documents register and making updates as required;

  • Assist the FPSO team’s documents registers and folders;

  • Assist the Subsea team’s documents registers and folders;

  • Assisting team with maintaining/updating the Project Sharepoint website to fit the requirements of the project

  • Sorting, filtering and monitoring the project Lessons Learned (LL) items and working with teams to respond to their assigned items in order to close out LLs. (e.g. developing a “how to guide” for tracking LLs, expediting actions, consolidating LLs etc.)

  • Helping/training teams on use of updated Powerpoint and Word templates


University degree or equivalent.

Candidate Profile

Skills / experience:

  • Technical awareness and interest in systems and processes

  • IT / Information Management awareness and interest

  • Awareness of typical project processes – action tracking, document control, SharePoint system

  • Basic data management

  • Proficient in MS Word, MS Excel and MS PowerPoint, including templates

Knowledge (e.g. systems, software, procedures, regulations):

Awareness of Oil & Gas industry, and/or major capital projects in other sectors (preferred)
